Job Summary

The Financial Aid Assistant assists with the Financial Aid (FA) process by verifying and processing required documentation. The position serves as a key customer service representative for the Office of Scholarships and Financial Aid, ensuring a positive experience for students, families, and staff.

Responsibilities

  • Is responsible for understanding, support, and carrying out the college¿s mission, vision, and values and comply with mandates and regulations of government and accrediting bodies
  • Assists and advises students and parents regarding financial aid application process, eligibility requirements, status of documents and other FA issues or concerns
  • Verifies the accuracy of documents and the consistency of data from need analysis processor, federal tax returns, financial aid transcript verification documents, and student information; and performs data analysis to identify discrepancies in data and determines action for resolution
  • Performs quality assurance review of all financial aid documents and audit reports to ensure integrity of data.  
  • Accesses a variety of computer information systems and databases to retrieve, verify and enter data.
  • Assigns FA processing in accordance with state and federal regulations and institutional policies and procedures
  • Maintains approved tracking system for applications and missing documents to allow for timely follow-up and completion in accordance with policies and procedures
  • Maintains and updates FA processing system and resolves issues with applications and documentation
  • Monitors and follows-up on the status of all pending student loan documents
  • Assists with student orientation and other FA events
  • Attends workshops, trainings, and department update meetings and serves on various college committees
  • Performs other duties as assigned

Required Qualifications

  • High school diploma (or equivalent)  
  • One (1) to three (3) year experience in an office setting or business-related customer service position 

Preferred Qualifications

  • Associate degree from an accredited institution and one (1) year of experience in an office setting or business-related customer service position OR high school diploma/ equivalent and three (3) years of experience in an office setting or business-related customer service position  
  • Experience in Higher Education, a student success-related field, or student financial aid is a plus

Knowledge, Skills, & Abilities

  • Knowledge and understanding of Federal, State, and Institutional policies and procedures related to student financial aid
  • Knowledge of automated processing principles
  • Knowledge of information verification principles and practices
  • Knowledge of computers and job-related software programs
  • Skill in the provision of customer services
  • Skill in the analysis of problems and the development and implementation of solutions
  • Skill in oral and written communication
  • Ability to apply institutional rules and federal and state financial aid regulations, necessitating judgment, selection, and interpretation in their application
  • Familiarity with program eligibility requirements.
  • Proficiency in technology, including MS Office Suite, videoconferencing software (MS Teams), digital records management systems, and general data information systems
